This privacy policy explains how Hubhus ApS processes personal data when you use the Hubhus Help Center at help.hubhus.com, contact our support, or subscribe to Hubhus News. It does not cover the data our customers process in the Hubhus platform itself: there, the customer is the data controller and Hubhus is a data processor under the Data Processing Agreement (see section 16 of the [Terms of Use](/kb/hubhus-terms-of-use)). ## Key points in 4 steps 1. **Who we are**. To answer support requests, run your Help Center account, bill support work, and send Hubhus News if you have asked for it or are an existing customer. 3. **Who helps us**. A small number of suppliers host the Help Center, send our emails and power the article search. Some are based in the US; transfers are covered by the EU–US Data Privacy Framework or the EU Standard Contractual Clauses. 4. **Your rights**. Support requests and Help Center accounts When you submit a ticket, email support or log in to the Help Center, we process your name, email address, company, the content of your messages and any files you attach, plus technical data such as the time of the request. If you log in, we also store your account details. **Purpose and legal basis:** to answer and document your request and to provide the service your company has agreed with us (GDPR art. 6(1)(b) and our legitimate interest in providing good support, art. 6(1)(f)). **Retention:** we keep tickets for as long as they are needed to support your company and to document our services. You can ask us to delete a ticket at any time, unless we must keep it to meet a legal obligation. ## 3. Billing of support work If support work is billable, we register time on the ticket and send the order to our accounting system with your company's customer number. Accounting records are kept for 5 years as required by the Danish Bookkeeping Act (art. 6(1)(c)). ## 4. Hubhus News (newsletter) Hubhus News is a short email with new features and product updates, usually once a week. - **If you sign up on the News page**, we first send you an email with a confirmation link. You are only added when you confirm. As proof of your consent we store your email address, the time you signed up and confirmed, your IP address and browser type (art. 6(1)(a) and section 10 of the Danish Marketing Practices Act). - **If you are an existing customer**, we may add you when you have shown an interest in receiving news about Hubhus, which is similar to the service you already use (section 10(2) of the Danish Marketing Practices Act). You can unsubscribe at any time from the link in every email. Sign-ups that are never confirmed are deleted after 30 days. Proof of consent is kept while you are subscribed and for as long as we may need to document it afterwards. ## 5. Help Center search and your browser When you search the Help Center, your search text is sent to our search provider to find the most relevant articles. Do not enter personal data in the search field. To limit misuse, we briefly register IP addresses on some public forms (for example, the ticket form and the newsletter sign-up). We do not use advertising or analytics cookies. Fonts are loaded from Google Fonts (see section 6). Your browser stores your chosen language and, if you log in, the session needed to keep you logged in. ## 6. Suppliers (data processors) We use these suppliers, under data processing agreements, to run the Help Center: - **Supabase**: database and login (EU, Stockholm). - **Vercel**: hosting of help.hubhus.com. - **Resend**: sending support emails and Hubhus News. - **OpenAI**: search in Help Center articles (only the search text). - **e-conomic (Visma)**: accounting, only for billable support. - **Google Fonts**: the fonts on help.hubhus.com are loaded from Google, which receives your IP address when a page loads. Where a supplier processes data outside the EU/EEA, the transfer is based on the EU–US Data Privacy Framework or the EU Standard Contractual Clauses. Your rights You have the right to access, correct and delete your personal data, to restrict or object to its processing, to data portability, and to withdraw your consent at any time.
